Newsletter Managers
Do you prefer the freedom of logging in to a restricted area of your Website and using your own newsletter tool to manage your newsletter campaigns?
 
We have provided custom newsletter campaign tools for many of our clients. Newsletter tools come in two flavors:
  1. BCC Newsletter - all of your newsletter subscribers copied on one standard message
  2. Direct Newsletter - each of your newsletter subscribers gets their own message customized to that individual.
BCC Newsletters
BCC newsletter tools are the easiest since we are only generating and sending one email. Everyone gets copied on it and it is not tailored to any one user. Rarely are BCC newsletters complicated.

Direct Newsletters
Direct newsletter tools are a little more complex if your newsletter subscriber numbers are in the thousands. If this is the case then we must break the newsletter down in to chunks to ensure the process does not take too long and we do not encounter a server timeout error. Server timeout errors occur when a page takes too long to process. This is not too complicated but it does require a little more work.

Below are screen shots of an actual direct newsletter manager we built for a client that sends a newsletter to thousands of people. Pretend it is yours.

In this particular case, you have different levels of customers and you are only sending the newsletter to current customers. You may want to send the newsletter to all of your customers or just those that performed a certain task on the Website, such as downloading a file.

In Step #1 you are going to choose who we want to send to.

Step #2. You selected to send the newsletter to "All" customers. When you select this option in the drop down menu, the page gives you the count of "All" customers that your newsletter will go to. In this case there are 7,177.

Step #3. Great. Now you simply type in your newsletter message. Optionally, you can send yourself a test message by entering your email address in the "Test Message" area at the bottom. You may want to do this just to confirm it looks good in your email client especially if you are sending HTML emails.

Once the newsletter is ready to go, you click the "Send to Customers" button. Your newsletter list is broken down in to chunks sending out the newsletter to 1,000 users at a time (per click). This ensures that the process of sending the newsletter to 7,177 people does not take too long. If it does, you may get a server timeout error. If that happens, you will have no way of knowing who got the newsletter and who did not.

When you click the "Send to Customers" button, the newsletter goes out to the first 1,000 people in your database. Once processing is completed, you receive a confirmation message on the screen that says, "Message sent to first 1,000 users. Click send to send to next 1,000". Please note we have put the "Send to Customers" button in the upper right hand corner, out of the way to ensure that you do not accidentally click it.

Step #4. Now you must click the "Send to Customers" button sending out the next 1,000, and the next 1,000, and so on newsletters until they have all gone out. In this case, you would click it eight times (1 - 1,000, 1,001 - 2,000, 2,001 - 3,000, 3,001 - 4,000, 4,001 - 5,000, 5,001 - 6,000, 6,001 - 7,000, 7,000 - 7,177). Once you are through, the newsletter feature will tell you "Newsletter send has been completed" and the "Send to Customers" button will disappear from view.

Special Notes
  • We used 1,000 newsletters per click here because it is a nice even number. We could probably send 2,000 newsletters at a time
  • Styles and tastes vary. Design features and validation messages of your newsletter manager can easily be changed.
  • Shared hosting accounts may limit the number of email you can send per day from your domain making it impossible for some Website owners to use a feature like this to send newsletters to thousands of users. Our Client Only Hosting systems have no limit.
  • You can send text newsletters or HTML email newsletters.
  • There would be an unsubscribe (opt-out) feature automatically added to the message.
  • We do not nor will we work with spammers. We only work for legitimate clients who send legitimate newsletters.
About the Design of Private Back-End Features
Back-end features, like the one above, would reside in a password protected area of your Website where only Website administrators would use them. Therefore; they are more on the "Clint Eastwood" side of visual appeal. Why spend a fortune on the design on these features? We try to be as stright forward as we can be on private back-end Website features in order to be more cost effective for clients.
